Participant Responsibilities, Waiver and Release

1. Introduction

All participants in the Relay Your Way event (the “Event”) must carefully read and agree to this Participant Responsibilities, Waiver and Release before taking part.

By registering and participating, you confirm that you have read, understood, and agreed to the terms set out below.

2. Acknowledgements and Participant Responsibilities

In consideration of my participation in the Event, I confirm the following:

  • I am over 18 years old and voluntarily participating in the Event.
  • I acknowledge that the Event is a physically demanding activity, and I am responsible for ensuring that I am physically fit and able to complete my designated stage within the allotted time.
  • I understand that my health and safety are my own responsibility, and I will stop if I feel unwell or injured. If I am unable to complete my stage, I will notify the Event support team immediately using the contact details provided in my event email.
  • I am responsible for transporting myself to and from my designated relay stage.
  • I am responsible for carrying the relay baton throughout my stage and handing it over at the designated location.
  • I acknowledge that the route provided on the Event website is a guide only, and I must review and determine the most suitable and safe route between the start and end points of my stage.
  • I understand that my relay stage may include roads open to traffic and/or off-road trails, and I am responsible for ensuring my own safety.
  • If my relay stage takes place in low-light conditions or darkness, I will wear high-visibility clothing and carry sufficient lighting to remain visible and navigate safely.
  • I acknowledge that no water stations are provided along the Event route and that I must bring my own refreshments as required.
  • I will comply with all applicable laws, including traffic laws and safety regulations, as well as any instructions provided by the Event organisers.
  • I understand that failure to comply with this waiver or the directions of Event organisers may result in my disqualification from the Event.

3. Assumption of Risk and Limitation of Liability

  • I acknowledge that participation in the Event involves inherent risks, including but not limited to the risk of personal injury, illness, property damage, or death.
  • I accept that I am participating at my own risk and, subject to applicable law, assume responsibility for any injuries or damages sustained.
  • I understand that, except in cases of negligence or breach of statutory duty by the Event organisers, their affiliates, or representatives (the “Indemnified Parties”), the Indemnified Parties shall not be liable for any personal injury, loss, or damage arising from my participation.
  • Nothing in this agreement limits or excludes liability for death or personal injury caused by negligence, fraud, or fraudulent misrepresentation by the Indemnified Parties.

4. Indemnity

  • I agree to indemnify and hold harmless the Indemnified Parties from any claims, losses, costs (including legal costs), or damages arising out of:
    • My own negligence or misconduct during the Event.
    • My failure to comply with applicable laws or Event rules.
    • Any third-party injury or property damage caused by my actions during the Event.
  • I acknowledge that the Indemnified Parties shall not be liable for indirect or consequential losses, including but not limited to loss of profits, business, reputation, or opportunity.

5. Media Consent

By ticking “I AGREE,” I consent to:

  • The recording and use of my image, voice, and likeness in photographs, videos, or other media captured during the Event.
  • The use of these materials by the Event organisers, their affiliates, and media partners for promotional, marketing, and publicity purposes, in any media format, worldwide and in perpetuity, on a royalty-free basis.
  • The modification or alteration of my image if necessary, provided that it is not used in a misleading or defamatory way.

I understand that I may withdraw my consent at any time by contacting the Event organisers in writing at [email protected], though this will not affect any materials already published.

6. Communications & Data Protection

  • The Event organisers will send me important pre-event updates and post-event surveys via email.
  • My personal data will be handled in accordance with the Event’s Privacy Policy and the UK General Data Protection Regulation (UK GDPR).
  • I have the right to access, rectify, or request the deletion of my personal data.

7. Governing Law and Jurisdiction

  • This agreement and any dispute arising from it shall be governed by and construed in accordance with the laws of England and Wales.
  • The courts of England and Wales shall have exclusive jurisdiction over any disputes arising in connection with this agreement.

8. Confirmation of Agreement

By ticking “I AGREE”, I confirm that:
✅ I have read and understood this waiver.
✅ I acknowledge my responsibilities and assume all associated risks.
✅ I agree to be legally bound by the terms set out above.


What to Expect

✔ Relay Crew & Volunteers: A Relay Crew member will meet you at your stage start to assist with the baton handover.
✔ Event Reminders: Organisers will contact you 7, 3, and 1 day before your stage to ensure you are fully prepared.
✔ Accessibility: The relay baton includes adaptations for participants with disabilities to ensure inclusivity.
✔ Media Presence: The social media team and press may be present during your stage.
✔ Baton Handover: You are responsible for carrying the baton and passing it to the next participant at the designated handover point.

Participant Preparation Guidelines

🔹 Know Your Route: Familiarise yourself with your stage in advance.
🔹 Arrange Transport: Plan how you will get to and from your relay stage.
🔹 Bring Essentials: Carry water, snacks, and any necessary equipment, as no refreshment stations are provided.
🔹 Follow Safety Rules: Adhere to traffic laws and safety regulations when running on roads or trails.
🔹 Notify the Support Team: If you are unable to complete your stage, contact the Event support team immediately.
